General Functionality

What’s the difference between TUNE Pay and the invoicing functionality in the TUNE partner marketing platform?

In TUNE Pay, there’s a number of enhanced capabilities that make it easier to run your program:

  • You can pay your partners directly through TUNE Pay via Direct Bank Transfer or PayPal, and have your payment status apply directly to your invoices right in the platform.
  • You can automatically generate and manage multiple invoices for a partner or advertiser each billing cycle. 
  • You can have your invoices automatically stay in sync with adjustments that you make to your conversions and conversion payouts.
  • You can store partner or advertiser documents, including tax information.
  • For networks, you can track your payables against your receivables to manage your cashflow from end-to-end.
  • You get access to other convenience features, such as automated collections emails (Dunning management), customizable PDF invoices, reporting, and the ability to handle payout reconciliation in invoices line by line.

What does TUNE Pay sync with TUNE?

TUNE Pay synchronizes the most recent conversions, partners, and advertisers from your TUNE platform multiple times per hour. TUNE Pay also synchronizes a rolling 90-day window of your conversion history on a semi-weekly basis. This means the data most relevant to your everyday needs are always up to date, and that data for adjustments are taken into account well before your recurring billing cycles.

What payment methods are supported by TUNE Pay?

TUNE Pay supports built-in integrations with TransferWise and PayPal. Other supported payment methods include Wire, Check, ePayments, Payoneer, and WebMoney. To handle non-integrated payment methods, you can export payment orders in a CSV format designed to be easily uploaded into other platforms.

How do partners access TUNE Pay?

Partners can access the TUNE Pay partner interface from the TUNE Partner Interface via the My Account > Payments section.

Who handles collecting tax forms from partners?

TUNE Pay allows for partners to upload tax documents through the partner interface. These documents will then be viewable and accessible by your Finance Team.

Payment Methods Setup

How do I set up payments via direct bank transfer?

In TUNE Pay, you approve payments via direct bank transfer separately for each partner. Once you set up your TransferWise integration, you can enable direct bank transfers for your partners. To enter your TransferWise integration details, go to Settings > Account Settings and select the TransferWise tab. Then enter your TransferWise API key and copy the IP address to whitelist in TransferWise.

Partners can enable direct bank transfers from their interface in the Payment Methods section by selecting the bank account they want to use to receive payments via direct bank transfer. Depending on regional differences, TUNE Pay may ask for additional payment details during this step.

When processing payments for this partner, you can click the Pay button to send a payment through TUNE Pay.

What’s the difference between a primary and non-primary payment method?

The primary payment method will be used as default when TUNE Pay automatically creates invoices for your partners. However, either can be used when you are manually selecting a payment method for an invoice.

How do I fund my borderless account for direct bank transfers?

TUNE Pay will automatically send you an email with the total sum that needs to be paid in order to have a sufficient balance for paying all your partner invoices. You can then send money to that account through the payment method of your choice, such as ACH or wire.

Another way to fund your borderless account is to log in to TransferWise and add funds to the borderless account corresponding to your TUNE Pay account.

Are there transaction fees for sending payments via direct bank transfer?

For domestic payments, TransferWise imposes a flat fee per transaction of approximately $1 USD. These fees can vary with time and can be estimated using their fee calculator. For international payments, TransferWise additionally imposes small conversion fees, which can be found on their website.

Invoice Management

How are invoices created?

TUNE Pay generates invoices on behalf of your partners. An invoice can be created in two ways: (1) through automation where TUNE Pay automatically creates an invoice based on the partners’ billing frequency, or (2) manually where you can create an invoice from available accrued payouts whenever you want.

How do partners see the invoices I create for them?

Once a partner invoice is approved, the partner can view the invoice from the TUNE Pay partner interface. You can also download the generated invoice from the Attachments section of the invoice page and send it to your partner manually.

Can partners upload invoices themselves?

Yes. They can upload any type of document through the partner interface. However, there are restrictions for file type and size.

What happens if an invoice I send is incorrect?

If you send an incorrect invoice, you can roll it back and fix any issues before sending it through the approval process again. Once the invoice is recreated, you can send it again.

Can I pay only a portion of an invoice?

Yes. Invoices are fully editable and customizable, so you can remove line items and save them for future payment runs. Each campaign or goal will be a separate invoice item that you can pay out separately for.

Does TUNE Pay calculate or add tax withholdings to invoices?

No, TUNE Pay does not. However, TUNE has a VAT management feature that stores the applicable VAT rate for a partner and automatically adds a VAT line to invoices. You can also create additional line items in invoices related to taxes as needed.

Payments

At what point is a payment sent?

Direct bank transfers and PayPal payments are sent when you click the Pay button on the Payments page, provided your TransferWise or PayPal account is sufficiently funded. For TransferWise direct bank transfers, you will first hit Calculate Fees to generate a quote for the bank transfer you’d like to make.  This will calculate the exchange rate for your payment, along with any TransferWise fees associated with the bank transfer. For payments using other payment methods, payment (and payment timing) is handled outside of TUNE Pay. Please note: clicking the Mark as Paid button for payment orders does not send a payment.

What net payment terms does TUNE Pay require?

None. TUNE Pay gives you ultimate flexibility in terms of how often and quickly you pay your partners. TUNE does not impose any deadlines or cutoffs for funding your account, approving invoices, or sending payments.

TUNE Pay Full Service

What is Full-Service?

TUNE Pay Full-Service is a turnkey solution for Advertisers. TUNE is facilitating payments to your partners by executing the bank transfer itself, using a TUNE-controlled TransferWise account. You will be issued a single invoice from TUNE to cover all your partners’ payouts.

Which payment methods are available in Full-Service and who can receive payments?

At this time, only Direct Bank Transfers by TransferWise are available. Payments are available for the countries and currencies supported by TransferWise. TUNE will only pay partners tracked through the TUNE platform – not other third parties. TUNE also reserves the right not to pay partners who reside in countries currently receiving economic sanctions from the US.

What will be the payment cadence?

In order to use Full-Service, your business needs to adhere to TUNE’s monthly business process and policies:

  • Partners’ invoices for the current month will be automatically generated on the 1st of the following month.
  • You will have to reconcile and approve all partners’ invoices by the 15th of the next month in order for them to be paid out in the current payment cycle.
  • On the 15th TUNE will send you an invoice & statement reflecting the money TUNE needs to receive in order to pay out your outstanding approved invoices. The Invoice terms are Net 7 and must be paid in USD by wire transfer.
  • Once TUNE receives funds from you, TUNE pays all your partner payouts on the last day of the month.
  • Any partners’ invoices that were left unapproved or uncovered by you will roll over to the following month’s payment cycle.

Which information must partners provide?

In the Full-Service solution, a partner is responsible for filing the correct tax and payment information to receive payments from TUNE. Partners that do not have a valid W-9/W-8BEN by the end of the month will have their payments roll to the next monthly payment cycle.

What about the fees and exchange rates?

A flat funding fee of approximately $5 USD for wire payment will be added to Advertiser’s invoice from TUNE to fund the account. This fee is collected by TransferWise, not TUNE. The transaction fees for payments to your partners are always absorbed by your partners and displayed to them.

The exchange rate for what TUNE invoices you will be in USD,  based on the available exchange rate at the time TUNE issues the consolidated invoice on the 15th of the month.

The exchange rate TUNE uses to pay partners in their local currency is based on the available rate at the time TUNE issues the payout, converted from USD.

Does TUNE also handle my partners’ invoices?

No. TUNE is not a Network. TUNE is a payment facilitating platform that is processing payments and handling bouncebacks for you. As an Advertiser, you are responsible for approving conversions, resolving all disputes on the amounts of the invoices, and reconciling the final payment sums with your partners. If a partner reaches out to TUNE directly, TUNE will direct the partner to your contact. TUNE also will not attempt to claw back money that it has already paid to a partner.
